The solution allows the local union to manage all member files digitally, access records from the field through laptops, and respond quicker to inquiries.

MES Hybrid Document Systems, a supplier of document scanning solutions since 1971, provided a records management solution developed especially for unions. The solution manages member records of all types, including applications, disputes, correspondence, grievances, actions, rulings and more.

With the new records management system, files are accessible regardless of location. If a member calls with a problem, the union representatives can get the necessary information from wherever they may be at the time. The organization is no longer dependent on paper files to conduct member business.

By better organizing member records and improving access, Amalgamated Transit Union Local 1572 saves substantial processing time. For example, one employee file alone might contain 300 documents. Handling a grievance previously would have taken hours to manually go through each record. Now, union representatives scan and scroll through the file and can find needed information quickly using word recognition software.

In addition, the new records management system eliminates document printing and photocopying. Automating and digitizing paper processes saves time and money, especially when handling document-intensive legal matters.
