Simplify Your Company's Move By Planning Ahead

(Sacramento, CA) - Making the transition to a new office can seem like a complicated job. However, there are ways to make the move go smoothly.


First, experts suggest appointing one person to organize your company move. This "point" person should be responsible for all communications and logistics of the move.


Then write a short moving guide for employees. In the guide, describe all procedures employees need to follow during and after the move. Include a packing plan schedule. More planning means less time spent on moving, making the move more cost-efficient for your company. It is also helpful to have a representative of the Moving Company you selected be on hand to offer suggestions.


It is also helpful to prepare floor plans and diagrams of office layout and other information for the new location to prevent confusion.


"When packing, it's important to use professional packing supplies and boxes. Use boxes designed for the items you are packing to minimize the chance of damage", said Mark Snyir, FRANCHISEE of the Sacramento TWO MEN AND A TRUCK® location. "In some cases, companies can take advantage of machine or library carts. These carts will speed up the move, not require packing and save the company on packing supply costs".


"I know free boxes can be tempting, but they may have been structurally damaged by their original contents," Snyir said. "Grocery boxes may contain bugs and larvae that could infect your new location and your belongings - no one wants that."


Pack all electronic equipment, like computers and printers, in their original boxes whenever possible. Otherwise use low-static bubble wrap when packing these items. For larger electronic items, like copy machines and printers where the original packaging is not available, consult with your vendor or manufacturer regarding the proper method for transportation of these devices. Often the manufacturers of this type of equipment recommend you remove the toner, chemical or specific other components before moving the equipment. Some larger equipment may need to be moved by the manufacturer.


When moving an office, keep these tips in mind:


When hiring a mover, ask if the company charges by the piece or by the hour. Find out if your items are insured during the move. Also, ask if they will accommodate your office by moving at night or on weekends.


Notify all associates. Let everyone know about the move including employees, landlords, movers and renters. Inform suppliers, magazines, charge accounts, insurance companies, clubs and other organizations of your new address. Get the proper change of address forms at the post office.


Don't over pack boxes. The heavier the item, the smaller the box.


Label boxes on top and ends. Make sure to mark boxes as they're packed. That way, movers will see where to place boxes at a glance. Also mark all office furniture with the appropriate destination.

Seal boxes with packing tape. Never use duct tape and don't interlock the tops.


Use up office supplies that are difficult to move. Finish using extra supplies including printer/copier paper and toner, office supplies and water cooler bottles.


Empty desks. Pack all contents in boxes. Loose materials and small items should be sealed in plastic bags or envelopes and then put in boxes with other items.


Keep your security files locked during the move. If security regulations require escorts, make special arrangements with your moving company prior to move.


Disconnect and dismantle computers properly. Make sure there is an employee who knows how to disassemble and later reassemble the equipment.
